BISMALLAH — Kistet Project Management with DOBiz SmartERP INSHA'ALLAH

Kistet Engineering & Trading manages dam safety instrumentation and hydromechanical projects. This guide covers how to manage the full project lifecycle in DOBiz SmartERP.

Project Lifecycle Overview

Enquiry → Quotation → Contract (Sales Order) → Procurement → 
Site Work → Commissioning → Billing → Warranty/O&M

Projects Module

Viewing Projects

  1. Go to DOBiz SmartERP > Projects > Projects
  2. You will see a list of all projects
  3. Use filters to find projects:
  4. Status — Open, Completed, Cancelled
  5. Project Type — Internal, External
  6. Company — Kistet Engineering & Trading

Creating a New Project

  1. Click + Add Project
  2. Fill in the required fields:
  3. Project Name — e.g., "Koysha Dam Instrumentation"
  4. Company — Kistet Engineering & Trading
  5. Expected Start Date — When work begins
  6. Expected End Date — Estimated completion
  7. Project Type — External
  8. Customer — Select the client
  9. Optional fields:
  10. Project Value — Total contract value
  11. Cost Center — For cost tracking
  12. Department — Technical Department
  13. Click Save

Project Status Workflow

Status Description
Open Project is active
Completed All work finished
Cancelled Project cancelled
On Hold Work paused temporarily

Tasks

Tasks are the building blocks of project work. Each project can have multiple tasks assigned to different team members.

Creating a Task

  1. Go to DOBiz SmartERP > Projects > Tasks
  2. Click + Add Task
  3. Fill in:
  4. Subject — Clear task name (e.g., "Install piezometers at Gololcha Dam")
  5. Project — Select the related project
  6. Status — Open
  7. Priority — Low / Medium / High / Urgent
  8. Assigned To — Select the team member
  9. Expected Start Date — When to begin
  10. Expected End Date — Target completion
  11. Description — Detailed instructions
  12. Click Save

Task Statuses

Status When to Use
Open Task created but not started
Working Actively working on it
Pending Review Completed, awaiting approval
Overdue Past the expected end date
Completed Finished and approved
Cancelled No longer needed

Task Dependencies

  • Tasks can be linked to each other
  • A task can be marked as dependent on another task
  • The dependent task cannot start until the prerequisite is completed

Viewing Your Tasks

  1. Go to DOBiz SmartERP > Projects > Tasks
  2. Use the filter: Assigned To = (your name)
  3. You can also see tasks on your dashboard under My Open Tasks

Timesheets

Timesheets track how much time you spend on each project or task.

Creating a Timesheet

  1. Go to DOBiz SmartERP > Projects > Timesheets
  2. Click + Add Timesheet
  3. Select Employee (your employee record)
  4. Add time entries (rows):
  5. Activity — e.g., "Site installation", "Report writing"
  6. Project — Select the project
  7. Task — Select the specific task
  8. From Time / To Time — Or just enter Hours
  9. Date — The work date
  10. Click Save

Timesheet Best Practices

  • Enter timesheets daily while the work is fresh
  • Be specific with activity descriptions
  • Include travel time to sites
  • Submit timesheets weekly for approval

Project Cost Tracking

Using Project Budgeting

  1. Open the Project record
  2. Go to the Budgeting section
  3. Set a Total Planned Cost
  4. The system will track actual costs vs. budget

Cost Categories for Dam Projects

Category Examples
Instrumentation Costs Sensors, cables, dataloggers
Labor Costs Field engineers, site staff
Travel Costs Transport, accommodation, per diem
Equipment Costs Tools, test equipment, safety gear
Import Costs Customs, duties, clearing

Project Reports

Available Reports

  1. Go to DOBiz SmartERP > Projects > Reports
  2. Key reports:
  3. Project Summary — Overall project status
  4. Project Tasks — All tasks with statuses
  5. Project Timesheet — Hours logged per project
  6. Project Costing — Actual costs vs. budget
  7. Task Completion — % of tasks completed

Generating a Report

  1. Select the report name
  2. Set filters (project, date range, etc.)
  3. Click Show
  4. Export to Excel or PDF as needed

Field Reports (Using Walta)

For daily field reports, use Walta Tickets:

  1. Go to Walta > Tickets
  2. Click + Add Ticket
  3. Subject: "Field Report — [Date] — [Project Name]"
  4. Category: Technical Support
  5. Priority: Normal
  6. Description: What was done today, issues encountered, next steps
  7. Attach photos if available
  8. Click Save

Project Completion

When a project is complete: 1. Ensure all tasks are marked Completed 2. Verify all timesheets are submitted 3. Create the final Sales Invoice 4. Update project status to Completed 5. Archive project documentation

Tips for Field Engineers

  • Log timesheets daily — don't wait until end of week
  • Update task status as soon as work progresses
  • Attach photos to tasks or field reports
  • Report issues immediately using Walta
  • Check your tasks every morning before going to site
